Firmawo lets individuals and businesses upload PDF documents and collect legally binding electronic signatures on them (the “Services”). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices available to you. It covers firmawo.com and our web application, and does not apply to third-party sites or services we don’t own or control.

If you receive a document to sign through Firmawo, the person or business who sent it (the “sender”) controls how that document is used — we process your information on their behalf. Questions about a specific document are best directed to its sender; we’re also glad to help.

By using the Services, you agree to this Privacy Policy. The broader rules for using the Services live in our Terms of Service.

1. Information We Collect

What we collect depends on how you use the Services — as a registered customer, a website visitor, or a recipient of a document sent through our platform:

2. How We Use Your Information

We use the information above to:

  • Provide the Services — document creation, sending, tracking, and e-signature functionality
  • Create and secure your account, and authenticate you when you log in
  • Process payments and send billing-related notices
  • Create and preserve a legally reliable audit trail for signed documents
  • Respond to support requests and send service-related notices
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations and enforce our agreements

3. How We Share Your Information

We do not sell your personal information. We share it only in these circumstances:

  • Service providers: vendors who perform services on our behalf — cloud hosting and storage, payment processing, email delivery — under contractual obligations to protect your information and use it only as we direct
  • The document sender: if someone sends you a document to sign through Firmawo, they can access the information related to that transaction
  • Business transfers: in connection with a merger, acquisition, or sale of assets, in which case personal information may be transferred as part of that transaction
  • Legal requirements: where required by law or legal process, or to protect the rights, property, or safety of Firmawo or others

4. Data Retention

We retain your account, documents, signer records, and audit trail data for as long as your account remains active, so you and your signers can access completed documents and their certificates of completion.

If an account is deleted, its data is permanently deleted immediately — there is no recovery period. If you’re a signer and want to keep a copy of a document or its certificate of completion, download it before the sender’s account is deleted.

5. Data Security

We use administrative, technical, and physical safeguards designed to protect personal information — including encryption in transit and access controls — against unauthorized access, disclosure, or loss. No method of transmission or storage is completely secure, so we can’t guarantee absolute security. Keep your account credentials confidential, and notify us promptly if you suspect unauthorized access.

6. Your Privacy Rights

Depending on your location, you may have some or all of the following rights over your personal information:

  • Access & correction: request a copy of your personal information, or ask us to correct it
  • Deletion: request that we delete your personal information, subject to certain exceptions
  • Portability: receive your information in a portable format, where technically feasible
  • Objection & restriction: object to, or ask us to restrict, certain processing, including withdrawing consent where processing is based on it

To exercise any of these rights, contact us using the information in Section 9 below. We may need to verify your identity first, and will respond within the timeframe required by applicable law.

7. International Data Transfers

We may process your information in countries other than your own, including the United States. Where we transfer personal information out of the European Economic Area, the United Kingdom, or Switzerland, we rely on legally recognized safeguards, such as standard contractual clauses.

8. Children's Privacy

The Services are built for business use and aren’t directed to anyone under 13 (or the applicable minimum age where you live). We don’t knowingly collect information from children, and we’ll promptly delete any such data if we discover it. By using the Services, you confirm you meet the minimum age requirement that applies to you.

9. Changes & Contact

We may update this Privacy Policy from time to time. We’ll post the revised version here with an updated “Last Updated” date, and notify you directly of material changes where appropriate. Continuing to use the Services after an update means you accept the revised policy.
